“Edit PDF” can describe several completely different jobs. One person wants to correct a sentence. Another wants to add a signature, rearrange pages, extract text, find a clause, or understand a confusing notice. Choosing the right tool starts with the result you need.
PaperLens is an AI document reader and analysis workspace. It does not modify PDF pages. This guide explains when that distinction matters.
What a PDF Editor Does
A PDF editor changes the file itself. Depending on the product, it may let you:
- Add, delete, or replace text
- Insert images, shapes, comments, or highlights
- Fill form fields
- Add an electronic or cryptographic signature
- Reorder, rotate, split, merge, or delete pages
- Redact content
- Export the PDF to Word or another format
- Compress the file or change permissions
Use a dedicated PDF editor when the finished PDF must look different from the original.
What an AI PDF Reader Does
An AI PDF reader focuses on meaning rather than page construction. It may help you:
- Summarize a long PDF
- Find dates, amounts, names, and deadlines
- Locate a clause or section when you do not know the exact wording
- Explain formal or unfamiliar language
- Extract readable text from a scanned document
- Ask follow-up questions about the file
- Create a checklist of details to verify
Use an AI reader when your goal is to understand, search, or review the document before deciding what to do.
Choose the Tool by Task
- Correct or replace text: use a PDF editor.
- Fill and save a form: use a PDF editor or form-filling tool.
- Merge, split, rotate, or reorder pages: use a PDF editor or page-management tool.
- Add a legally meaningful signature: use an electronic-signature product.
- Permanently remove sensitive text: use a redaction tool with verification.
- Find a deadline or payment amount: use PDF search or an AI PDF reader.
- Understand a difficult clause: use an AI PDF reader, followed by professional advice when needed.
- Summarize a long report: use the PDF summarizer.
- Read an image-based scanned PDF: use the PDF text reader.
- Ask questions about the file: use Chat with a PDF.
Editing Text Is Different From Extracting Text
Text extraction copies readable content out of a PDF. Editing changes the content embedded in the PDF and often has to preserve fonts, spacing, page coordinates, and layout.
OCR adds another layer. A scanned PDF may contain only images. OCR can recognize the visible characters, but recognition errors are possible. Converting that result into a clean, editable document requires layout reconstruction that a document-analysis tool does not promise.
If you only need to find or understand the words, extraction may be enough. If you need to deliver a revised PDF, use an editor and inspect every changed page.
Searching a PDF Is Different From Editing It
You do not need an editor merely to find text. Start with the PDF reader's Find command. If the file is scanned or you do not know the exact phrase, use the process in How to Find Information in a Long PDF or Document.
Meaning-based questions are helpful when the file says “provide written notice no fewer than sixty days before expiration” and you are searching for “cancellation deadline.” The tool can connect the concepts, but you should still verify the cited language in the source.
When You May Need Both
A common workflow uses both kinds of product:
- Analyze the PDF to find the relevant language and understand the requested change.
- Verify the finding in the original document.
- Make the change in a PDF editor.
- Export a new copy rather than overwriting the source.
- Reopen the exported PDF and confirm text, pages, links, form fields, signatures, and redactions.
This separation is useful for contracts, applications, policy documents, and official forms because it preserves an unchanged source for comparison.
Privacy and High-Stakes Documents
Before uploading or editing a file, consider what it contains. Remove data that is not needed, follow your organization's policy, and choose a product appropriate for regulated information. For contracts, medical records, financial files, and government documents, verify the provider's storage, retention, deletion, and third-party processing terms.
AI output can be incomplete or incorrect. It should help direct your attention, not replace the original file or qualified advice.
